The library's conference center is available for a rental fee by businesses and nonprofit groups. Fees are based on room used and length of use. Rooms may be used for public or private meetings, presentations, press conferences, and meal functions. Rooms may not be rented for weddings, parties, or other events of a social nature. We waive rental fees only (cleaning and other services charges may apply) for official meetings of local, state, and federal government. Fundraisers, fee-based presentations, or social activities of government agencies are subject to nonprofit fee schedule.
Meeting Times
We'll work closely with you to make sure our facilities are just right for your event. You should plan your events within the operating hours of the library, as we do not admit attendees until 9:00 AM daily, and we must close the building on time each evening. Before-hours access to the facility is not permitted, nor are breakfast events that require early admittance to the library by planners or caterers.
Monday - Thursday: 9:00 a.m. - 8:00 p.m.
Friday: 9:00 a.m. - 6:00 p.m.
Saturday: 9:00 a.m. - 5:00 p.m.
Sunday: 2:00 p.m. - 5:00 p.m.
Beginning July 1, 2009, Main Library hours will change:
Monday - closed
Tuesday - Friday: 9:00 a.m. - 6:00 p.m.
Saturday: 9:00 a.m. - 5:00 p.m.
Sunday: 2:00 p.m. - 5:00 p.m.
How to see the Conference Center
We'll be happy to show you the conference center facilities by appointment. Drop-ins are discouraged, as the rooms are frequently in use by other groups and are unavailable for viewing when in use.
How to make a reservation
Reservations are handled by the library's Conference Center Coordinator, who will guide you through the process of booking a room, filling out proper forms, making A/V requests, and other facilities-related issues. The facilities of the conference center are heavily used, so it's best to make a reservation several months in advance.
Meeting Spaces Available
- Large (2-sided) Multipurpose Room
Seats 300 theater-style, 115 classroom style, and 270 for meals, with 700 maximum capacity for a standing reception. Each half of the room seats 200 theater, 50 classroom, 80 for meals, with 350 at a standing reception. Each side has podium, sound and AV capability. Rates: $650 per 4 hour block business rate; $500 nonprofit rate. Half-room rates: $475 per 4-hour block business rate; $300 nonprofit rate. Note: these charges will change on July 1, 2009.
- Auditorium
Seats 236 in fixed theater seats. Stage with podium, sound, and AV capability. Refreshments must be served and consumed outside theater. Rates: $650 per 4-hour block business rate; $500 nonprofit rate. Note: these charges will change on July 1, 2009.
- (2) Smaller Meeting Rooms
Each room is set with tables in hollow square to accommodate 20 people.
Rates: $35 per hour block business rate; $25 per hour nonprofit rate. Note: these charges will change on July 1, 2009.
Catering
The Conference Center has a fully-equipped catering kitchen that can be used by your caterer to stage your event. We do have some special serving restrictions, and it is important for us to communicate directly with your caterer prior to your function.
Standard Inventory for Use
The library provides chairs and tables for classroom-style room set, meals (oblongs only), and buffet service. We offer cloths and table skirting for registration and buffet tables only. Round tables and meal table linens must be provided by the client.
Audio/Visual Requirements
The library provides podiums, podium mics, and standing mics for your needs. We have the capability of showing your DVD or video onscreen in the auditorium and on both sides of the large conference room. If you plan a powerpoint presentation for your group, please plan to bring your own laptop. Our A/V specialist will be glad to assist you with your sound needs, and will make arrangements with you prior to your meeting. Equipment needs beyond those provided by the library are the responsibility of the client.
